Office Apprentice

This role will assist our Production and Commercial team. They will provide a comprehensive range of high-quality administrative support to ensure all aspects of day-to-day activities operate efficiently, effectively and consistently.

What will the role involve?

  • The role will involve working closely with the team to ensure deadlines are met in producing supporting documentation as required. 
  • To manage the development of good administrative practice including maintaining and developing procedures, records and systems
  • First point of contact for any general enquiries received for the Production and Commercial team, responding or redirecting where appropriate
  • Preparation of, and issuing documentation to team, site personnel and other relevant parties
  • Management of weekly progress sheets, recording subcontractors each week for HSE Manager and forward to the Aftercare team if any action is required
  • Order and distribute stationery, site books and personal protective equipment for site
  • Co-ordinate and update on NHBC certificate reports
  • Manage and record all site health and safety scores, collate outstanding actions and produce monthly reports for Operations Director
  • Preperation of site documents, including creating folders, inductions and assisting the HSE Manager with HSE documents
  • Monitor agency workers including Labourers and Forklift Drivers and create purchase orders for the Commercial team
  • Management of NHBC portal
  • Management of timesheets, ensuring Production Director and Manager sign off and notify People team of any additional leave
  • Management of rebates and claiming money back on BT
  • Preperation of collateral warranties for consultants and architects
  • Manage subcontrator statements and support Commercial team with outstanding invoices
  • Collating information for site start folders and keeping the system updated
  • Supporting the Commercial team on our construction software with setting up new sites, monitoring H&S documents and making payments
  • Creating and issuing monthly sheets for the Buying team
  • Issuing, monitoring and preparing payments for sales variation orders
  • Attend training as appropriate
  • Attend meetings and take notes and minutes as appropriate
  • General administration and filing for the team
  • Provide support to other department administrators when needed
